Minutes – FC Bozeman Board Meeting – June 2, 2004

 

Present:  Dick Prugh, Bill Locke, Bill Robinson, Jen Gummer, Kerry Hatcher, Sue Manfredi, Mary Anne McGuire, Tim Guenzler

I.The meeting was called to order at 7:04 p.m

 

II.It was moved Seconded and Passed to approve the May 5 minutes.

 

III.Unfinished Business:  Mike Rivas and Bill Robinson

Moved up in the meeting since Mike R. had to leave early

Uniforms 2004-2005:

Puma and Score proposals were recommended to the Board.

They recommended Score uniforms for the Blitzz Junior program since Score has always given the club a great price for uniforms

Bill and Mike strongly recommended switching to Puma uniforms for the competitive teams based on the following:

30% off retail for Puma uniforms

30% off retail for any Puma product (shoes, balls, etc) for any player in FC Bozeman

$5000 annual credit to FC Bozeman to purchase any Puma product

40-50 Puma match balls will be donated if we sponsor a tournament

Puma products will be purchased through Universal Athletics

This is due to the fact that Puma recommended Universal Athletics since they already distribute to other Montana clubs through Universal

Purchase of Puma uniforms will be phased in as the need arises to purchase new uniforms

Teams will only be required to purchase Puma uniforms if there are not already enough existing old uniforms to outfit their team during the 2004/2005 season.

All teams will be required to wear Puma uniforms by the 2005/2006 season

The cost to club members for Puma gear would be approximately $85 per uniform (2 shirts, 2 pair socks, 1 pair shorts) with additional costs for the purchase of a warmup and bag if the team chooses to do so for a total of approximately $170.

Teams will not be required to purchase warm ups and bags.  However, Tim G. strongly recommended that older teams are covered "head to toe" with the same brand, Puma, to reflect a professional tone.

A number of uniform styles were shown to the Board. 

Due to the above, Bill Robinson proposed the following:

Continue Score relationship for Junior Blitzz

Discontinue Adidas relationship for competitive teams

Start a Puma relationship for the competitive teams

The Board will further discuss how to transition as outlined in the above proposal.

    Dick Prugh seconded the motion which was unanimously passed.

Season successes

Of nine AA teams:

3 #1 seeds, 3 #3 seeds

9 teams in semifinals!

5 teams in finals

2 teams to Regionals (17G/B)

1 State Champion (17G – 3-time Champions)

U-15G team didn't have a great season based on results (lost most games against AA team competition) but played their hearts out to make semis at State

Tim G. emphasized that teams should be practicing through the end of June and attending at least one tournament. 

When asked by Kerry about how long a coach should stay with a team, Tim stated that it would be ideal for a coach to stay with an age group from year to year and have the kids move on to different coaches to learn new coaching styles.  The main teams that improved the most this year had different coaching styles to learn from.

Training 3 times/week

2 Tournaments (Littleton,CO in mid August and Casper, WY in mid Sept.) and additional friendlies may be scheduled as the opportunity arises.

Coaching will be chosen by the Head of Coaches.  The team's spring coach might or might not be involved with the fall training group

No tryouts are anticipated.  All players who played on a U11-U13 team in the spring will be welcome to train in the fall.  Players that are new to FC Bozeman will be allowed to train at the coach's discretion.  The team roster for tournament play will be determined by the coach and will not necessarily include all the players that have been training, depending on the number of players training at that age group.

The costs to all players would be coaching fees, club costs (ie field rental or referees) and club registration.  We are figuring $1000 for coach fee/training group. This would be roughly $75/player plus $50 to register (which they would have had to pay in the spring anyway).  This makes the basic fee to train at $125 per player. Players that are selected to go to the tournaments would obviously incur additional fees (tournament coaching fees, coaches travel, and tournament registration).  This might run another $200 for those players selected and able to go to the tournaments.

Bill L. would like to connect with older Junior Blitzz players and encourage them to play competitive soccer.  This will help build the competitive teams in Bozeman.

The cost of doing so was discussed greatly.

Kerry asked if we could acquire more land for the club at a less expense than the $126K that would be required to place a building on the property  and pave the parking lot to satisfy the City.

Tim G. and Board members agreed with Kerry since the club has limited use of the fields since it is a city park.  Kerry volunteered to seek better opportunities for FC Bozeman.

Bill Locke stated that a "Land and Water Conservation Trust Fund Grant" could be one source of money.

VII.Head Coaches Report – Tim G.

State Tournament Results

"Bill, Dick and I hoped for 7 teams to the semifinals, all 9 qualified."

"Teams competed with a lot of class"

"Coaches very professional"

"We need to educate our coaches to change kids around in different positions to make them better players."  Tim feels that two to three different systems are necessary for success.

The biggest disappointment this season has been that coaches are not showing up for clinics. 

Causes lack of coaching education

Only one coach (Chris H.) has signed up for Billy McNichol clinic.

We may have to put a clause in the coaching contracts that attendance at 3-4 clinics is required.

Tim says that we need to make an effort to get Erika H. more involved with the club. She really helped the younger girls.

"All in all I was very proud of how we did"

"U16G lost a tough game in double overtime."  Tim said they played hard.

"U15G are the "miracle on grass team" who only lost 1-0 to the championship team"

"U15B played with 6 injuries"

"U13G had a very tough overtime loss in the championship game."

 

VIII.  Committee Reports

A.  Budget Development – Bill Locke

Motioned to support the  Regional bound teams (U17B and U17G) teams for Regionals with $250.

Discussion, initiated by Bill R., changed support to $500.

B.  Facilities and Equipment – no report

Basically all was discussed in earlier reports (Bronken and uniforms)

C.  Head Coach Supervision and Development – Bill Robinson

2004 Fall Season U11-13

Core coaches:  Mike Rivas and Tim G.

Amy Rivas won't be able to because she will be a coach at BHS.  Congratulations to Amy from the Board

Do we pay Tim Guenzler's expense's at State by giving him additional money since it was not in his contract?

Kerry H. motioned: 1.  Pay Tim's coaches expenses for state.          

  2.  Put a clause into the Head Coaches contract for next

   year to cover expenses.

Unanimously approved

 

Issue of renewing Tim G. contract for 2004/2005

Tim has expressed an interest in knowing whether he will be rehired next season.

He wants to begin planning for next season but needs to know if he will still be Head Coach.

Kerry asked if we should be doing the evaluation before deciding to rehire Tim G. 

Some Board members thought that would not be necessary stating that we could evaluate Tim after making a decision.

Mary Anne felt as if we "were putting the cart before the horse. We should evaluate first since that seems logical and more professional."

Discussion:

Bill L.  "Everyone recognizes that Tim G. has benefited the club."

Sue M.  "We don't want to lose him."

Mary Anne "Although I agree with you I still think we should do the evaluation first."

Most members thought that voting to decide whether Tim would be Head Coach or not before evaluating him would be fine.  Thus, Dick P. motioned we retain Tim G. as Head Coach pending mutually acceptable terms of a contract.  Kerry H. seconded the motion which was unanimously approved.

Bill R. brought up the question of an annual contract or open-ended contract for Tim?

The Board discussed, benefits of both.

Bill R. motioned proposing a longer temr contract with Tim G. subject to negotiation with Tim G. and the advice of an attorney.  Kerry H. seconded the motion. The motion was unanimously approved.

D.  Referee Liason – no report

E.  Team Manager Report – Jen G.

She has received reports from managers about which families did not fulfill volunteer duties and owe $50.  Team managers will be collecting the money.

F.  Player Recognition Promotion/PR – no report

G.  Fundraising – no report

H.  Risk Management – no report

I.Policy – Sue Manfredi

Special Summer Meetings

Every Board member should give Sue a list of top 5 policy issues of their choice and Sue will present the 8 top choices at Policy meeting.

Board members should give Sue their vacation list so she can plan meetings around vacations.

Bill L.  asked Sue to give everyone a list of issues already discussed.  Sue will send out the list in a day or so.

 

IX.New Business

Sue M. discussed end of the season party

Lindley Pavilion

All club members bring desserts.  This information distributed by team managers.

Sue Manfredi motioned for $300 to cover party expenses.  Bill R. seconded the motion.  The motion was unanimously approved.

The Board decided to display the uniforms at the club picnic to be voted on by club members.  This will give the club members the opportunity to be more involved in FC Bozeman's uniform choice.
