BOZEMAN BLITZZ FC BOARD MEETING
May 24, 2006

Present:  Bill Locke, Bill Robinson, Terri Murphy, Chris Beausoleil, Britt Bodtker, Jen Gummer, Kerry Hatcher, Diana Cooksey

  1. CALL TO ORDER at 7:10pm. NO QUORUM
  2. Discussion of email thread re: alleged behavior of Blitzz players in Boise at the Fairfield Inn during weekend 5/13 –14.  Board realizes that this incident will never be resolved fully, as much of it is hearsay, however the teams that may have been involved will be approached and let know the seriousness of the matter.  Bill Locke will send a letter from the club to the complainant and to the Fairfield hotel.
  3. MICRO REPORT –
    1. Season going well.  AYSO will do random assignments of players next year, which should alleviate problems of uneven and unbalanced teams, etc.
    2. Although expensive software is available that would help with scheduling it wouldn’t relieve the pressure of parent’s expectations, etc.
    3. No resolution regarding coaching clinic cancelled by MYSA.
  4. PRESIDENT’S REPORT –  
    1. See above re: emails.
  5. FALL SEASON
    1. See attached provided by Bill Robinson “2006 Fall Season for current U11-U13 Teams”.  A few years ago, Bill contacted Billings about possibly setting up some “friendlies”, without success.  We could consider contacting them again -- Elite team could have “friendlies” as well.
    2. Best method for advertising?  Don’t rely on emails to team managers.  Jen Gummer will update the registration form and Bill will put together packets for each of the team managers to pick up from Jen.  Info will be on front page of Website.  Kerry Hatcher will compile master file of all parent’s email addresses, broken down by age group.  It was noted that club needs to limit mass emails to only essential items, such as registration and scholarships.
    3. Deadline will be changed to July 1, 2006 for registration and scholarships.
    4. The budget only allows for 1-2 scholarships.
  6. FINANCE –
    1. State --  lots of revenue so far.  Only place where we will be over budget is the fields, probably by $1000, with the worst-case scenario being over by $4500.  We will have a $10-15,000 profit from state.
    2. Overdue fees from spring season – approximately $12,000 not paid yet.  $ needs to be collected up front.  This issue will be discussed in detail this summer.
    3. Next year’s budgeting will be much easier
    4. Travel expenses for coaches – Most coaches have not requested their travel reimbursement.  Distinction to note: employees are usually reimbursed while independent contractors are responsible for their own expenses.
    5. Coaches’ clothing may be here by Friday.  We have one more year on PUMA contract and should look into other options.  Blitzz club should support Universal and JD Greaney (who’s in charge of team sales) has been a huge help for our club.  He may have ideas for better vendors, etc.  We need to meet with JD in the fall for his advice on this.
    6. Play it Again Sports has relationship with Vizara and wants to team up with Micro, which we should pursue, as PIAS is exclusive sponsor for Micro.
  7. HEAD COACH –
    1. Elite team – coaches have been contacted, will set up teams after state, will be going with US Club Soccer.
    2. Les Bois Tournament – 3 teams (U17 boys, U15 girls, U14) in championship games, 2 winners.
    3. Coaches committee needs to meet as Chris Beausoleil’s contract is up in 1 month.
    4. Evaluation of coaches – no way to ensure that we get only one response from each parent.  Form and names will be updated on Website.
    5. Camps with Gonzaga and MLS -- our club insurance does not cover them.  Bill Locke will check regarding MLS and Dick Prugh will check regarding Gonzaga.
  8. NEW BUSINESS
    1. “Score” provides all balls for State.  There might be a provision in the PUMA contract for 50 tournament balls.  Bill will pursue this with JD; perhaps we can get 30 size 5 balls.
  9. UNFINISHED BUSINESS
    1. Bronken Building update – Bill Locke has authorized Bozeman Ultimate Frisbee to use fields but not concessions.  Toilet partitions have been reordered.  Portapotties need to be emptied, which Bill Locke will handle.  Water is not on yet.
    2. State Tournament Update – Board should make a presence this weekend at the tournament.  Ambulance is routed through 911.  At MSU, everything needs to be dispatched through campus police.  2 Trainers are available this weekend and will be at BHS, but will come to MSU if required.  Bill Robinson has offered to respond to emergencies.  Regarding advertising, the media has been informed and so has the chamber.
